PMS health check and audit

A structured review of an existing PMS database: does it match the vessel, do jobs and intervals follow the makers and class, is critical equipment flagged? You receive a scored report and a prioritised plan.

Most PMS databases were built years ago, by different people, for a ship that has since been modified, re-flagged or moved between managers. Over time the data drifts: equipment is replaced but not updated, jobs are duplicated, intervals are changed without a reason, and overdue work is postponed until it disappears from view. The result is a system that looks complete but no longer describes the ship.

A PMS Health Check & Audit tells you, with evidence, how far your database has drifted and what to fix first.

What we check

AreaWhat we look for
Equipment registerEquipment missing, duplicated or no longer fitted; wrong maker or model; missing running-hour counters
JobsJobs that do not match the maker's manual, generic or copied wording, missing safety precautions and references
IntervalsCalendar and running-hour intervals that differ from the maker or class without a recorded reason
Class and statutory itemsContinuous survey items and other class requirements that are missing or mis-linked
Critical equipmentCritical equipment and jobs not flagged as your safety management system requires
Spare partsParts not linked to equipment or jobs; critical spares with no minimum stock
Work historyOverdue and postponed jobs, and how postponements are approved and recorded

What you receive

  • A scored report for each vessel, showing the condition of each area.
  • A finding list with the evidence for each finding and the source it was checked against.
  • A prioritised plan: what to correct before an inspection, what to correct with the next data update, and what can wait.
  • For fleets, a comparison across sister ships, so differences in hierarchy, jobs and intervals become visible.

How it fits with our other services

The audit is often the first step before a PMS data migration, a vessel takeover or a rebuild from the maker manuals. Correcting the data before it moves is far cheaper than moving bad data into new software.

The audit is a report, not a rewrite: we do not change your PMS during the review. Corrections are carried out afterwards, only where you approve them.

Frequently asked questions

What is a PMS Health Check & Audit?

A structured review of an existing PMS database. We check that the equipment register matches the vessel, that jobs and intervals follow the makers' manuals and class requirements, that critical equipment is flagged, and how overdue and postponed work is handled. You receive a scored report with a prioritised plan to fix what we find.

Do you change our data during the audit?

No. The audit is a report, not a rewrite. Corrections are a separate step that you approve, so you keep control of what changes in your PMS.

When should we run a health check?

Before a vessel joins your fleet, before a migration to new PMS software, ahead of a dry-dock or class renewal, after a poor inspection finding, or when crews report that the PMS does not match the ship.

Can you audit one vessel or a whole fleet?

Both. A fleet audit adds a comparison between sister ships, which quickly shows where jobs, intervals or hierarchy have drifted apart.
